How to Choose the Best Free Daycare Software: A Checklist

The CareCircle team ·

Why free daycare software is worth a close look

For a small center or a home child care program, every monthly bill matters. Free daycare software can take enrollment, billing, and parent communication off paper and spreadsheets without adding a new expense. The word free, though, can mean very different things from one product to the next. Some plans are truly free for a small program. Others are free to start and then charge in ways that are easy to miss until you are already set up.

This guide explains what free plans usually include, the catches that show up most often, and a checklist you can use before you commit.

What free plans usually cover

Most free daycare software plans focus on the core office work of running a program. Common features include:

  • Online enrollment forms so families can apply and submit details from any device.

  • A waitlist to track interested families and fill openings in order.

  • Family and child records kept in one place instead of in folders and inboxes.

  • Tuition invoices and online payments.

  • A parent portal where families can view invoices, pay, and update their information.

The question is not only which features are listed, but how much of each one you can actually use before a limit or a fee kicks in.

Common catches to watch for

Free plans often make money somewhere else. None of these are bad on their own, but you should know about them up front.

  • Small caps. Some plans are free only up to a low number of children, families, or staff accounts. Check whether the limit counts children or families, since that changes the math for programs with siblings.

  • Fees on each payment. A plan can be free to use while adding a charge to every tuition payment. Find out who pays that fee, you or the family, and how it shows up on statements.

  • Where the money goes. Some tools hold tuition in their own account and pay you out later. Others send payments straight to your own payment account. Ask how and when funds reach you.

  • The vendor's brand, not yours. Many free portals show the software company's name and app instead of your program's name. Families may feel they are dealing with a stranger.

  • Paid add ons. Features like billing, reports, or extra users may sit behind an upgrade. A free plan that cannot bill families may not save you much time.

  • Setup fees and contracts. Watch for onboarding charges, annual commitments, or cancellation terms that make it hard to leave.

  • Price jumps as you grow. Look at what happens the day you pass the free limit. A steep jump can turn a free tool into an expensive one overnight.

A checklist before you choose

Use these questions when you compare options. Write the answers down so you can see them side by side.

  • How many children can I enroll before I pay anything?

  • Does the limit count children or families?

  • What does it cost per child once I pass the free limit?

  • Are there setup fees, contracts, or cancellation fees?

  • Can families pay online, and do payments go to my own account?

  • Who pays any payment processing fees?

  • Does the parent portal show my program's name and live on my own website address?

  • Do families need to download an app, or can they use any web browser?

  • Can I handle enrollment, waitlist, and billing in the same place?

  • How quickly can I get set up, and is there help if I get stuck?

  • Can I export my data if I ever decide to leave?

Match the tool to your program

A home child care provider with eight children has different needs than a center with sixty. If you are small, prioritize a plan that stays free at your size, keeps billing simple, and does not lock you in. If you expect to grow, look closely at pricing past the free limit so you are not surprised later. Either way, try the software with a real family record and a real invoice before you move everyone over.

If you run a program in New York or New Jersey, software can help you stay organized, but it does not replace state guidance. For licensing and regulations, check the official sources at ocfs.ny.gov and nj.gov/dcf.
