How to Switch Daycare Software Without Disrupting Families
The CareCircle team ·
Why owners put off switching
Most daycare owners know when their software is not working for them. Fees creep up, contracts lock them in, parents complain about clunky apps, or billing takes hours every month. Still, many owners wait years before making a change because switching feels like a big, messy project that could confuse families or interrupt tuition payments.
The good news is that switching does not have to be painful. With a simple plan, a small center or home child care program can move to new software in a couple of weeks while families barely notice anything except a better experience. This guide walks you through each step, from exporting your data to the day your first invoice goes out from the new system.
Step 1: Decide what you actually need
Before you export anything, write down what your current tool does well and what frustrates you. This list keeps you focused when you compare options and helps you avoid paying for features you never use.
How do you bill families today, and how often? Weekly, biweekly, or monthly?
Do you take card and bank payments online, and where does that money land?
How do new families register? Paper forms, PDFs, or an online form?
What do parents need to see, such as invoices, balances, and their child's records?
What are you paying now, including setup fees, monthly fees, and contract terms?
Be honest about cost. Many small programs pay far more than they need to. Look for software with no setup fees and no long contracts, so you are never stuck again if your needs change.
Step 2: Export your data from your current system
Your data belongs to you. Before you cancel anything, export everything you can and save copies in a safe place. Most systems offer CSV or spreadsheet exports from their reports or settings pages. If you cannot find an export option, ask your current provider's support team in writing.
Here is what to export:
Family and child records: names, birthdays, enrollment dates, and classroom or age group.
Parent and guardian contact details, including emergency contacts and authorized pickup people.
Health and allergy notes and any custom fields you track.
Billing details: tuition rates, recurring charges, discounts, and subsidy arrangements.
Open balances and payment history for each family.
Copies of signed enrollment forms, handbooks, and policy acknowledgments.
Once you have your files, open them and check that they are complete. It is much easier to fix a missing column now than after your old account is closed. Keep records as long as your state requires. For record keeping rules, check the official guidance at ocfs.ny.gov in New York or nj.gov/dcf in New Jersey.
Step 3: Pick the right timing
Timing makes a big difference. The best time to switch is right after a billing cycle closes, so you start fresh with a clean slate instead of splitting a month across two systems.
Aim to go live at the start of a month or a new billing period.
Avoid your busiest weeks, like the start of the school year or a big enrollment push.
Check when your current plan renews so you do not pay for an extra term.
Give yourself two to three weeks from start to finish for a calm transition.
A slower summer week or a quiet stretch in late fall or early spring often works well for small programs.
Step 4: Set up the new system
Modern daycare software should be quick to set up. With Care Circle, most programs are up and running in 20 minutes. You add your program details, import or enter your families, set your tuition rates, and connect your own Stripe account so payments go straight to you.
During setup, take a few extra minutes to:
Double check each family's tuition rate and billing schedule.
Enter any open balances so families start with accurate totals.
Create your online registration form for future families.
Add your logo and colors so your parent portal looks like your program.
Step 5: Tell parents early and clearly
Families do not like surprises, especially when money is involved. Tell them about the change at least two weeks before it happens, and keep the message short and friendly.
Your announcement should cover:
Why you are switching, such as easier payments or a simpler parent experience.
The date the new system starts and when the first invoice will arrive.
What they need to do, like accepting an invite and adding a payment method.
Who to contact with questions.
Send the message by email, mention it at pickup, and post a note by the door. Then send a short reminder a few days before the switch. With Care Circle, parents use a branded browser portal, so there is no app to download. They simply open a link, sign in, and see their invoices and balances.
Step 6: Run both systems for a short overlap
For a week or two, keep your old system available while families get comfortable with the new one. This overlap protects you if a detail was missed during setup and gives parents time to update their payment method.
Keep your old account active but stop creating new invoices there.
Track which families have accepted their invite and added payment details.
Follow up personally with anyone who has not logged in yet.
Compare balances in both systems to make sure nothing was lost.
Keep the overlap short. Running two systems for months creates confusion and double work. Once every family is set up and balances match, you are ready to cut over for good.
Billing cutover checklist
Billing is the most important part of any switch. Use this checklist to make sure no family is charged twice and no payment slips through the cracks.
Confirm the final invoice date in your old system and collect any remaining balances.
Turn off autopay and recurring charges in the old system before the new cycle starts.
Connect your own Stripe account in the new system and confirm payouts go to your bank.
Enter each family's tuition rate, discounts, and subsidy details.
Carry over open balances or credits so totals are correct from day one.
Send a test invoice to yourself or a trusted family to check the details.
Confirm every family has added a payment method in the new parent portal.
Send the first real invoices and watch for successful payments.
Download final reports from the old system, then cancel it in writing.
Save your exported data and cancellation confirmation with your business records.
Step 7: Close out the old system
Once your first billing cycle runs smoothly in the new system, cancel your old subscription. Get the cancellation in writing and confirm you will not be charged again. Keep your exported files for your records, since you may need them for taxes or state requirements.
